2024 Annual meeting event planning

Post by nhamill »

Howdy board members,
April is quickly approaching and I'm hoping that we can chat here about how/when/where to have our annual meetings.

To throw out a starting suggestion:
Where: Fox park
When: Sat or Sun in April. I have no pref
How: First setup some tables similar to scary supper, bring food, invite all neighbors then about 1 hour later alter the setup to have the annual meeting and invite people to stay. I'd also like to setup an agenda that aims to have the meetings be 1hr to 1hr 30 min.

Anyone else interested in trying the park idea?
Other ideas?

Thanks :)

Morning, weather can be unpredictable in April but I'm willing to go with the majority.

A suggestion would be the performing arts building on the fair grounds. If we have a date I am willing to check on the access availability. There is a room off from the auditorium that allows food.

Let me know.

An April weekend sounds good to me, maybe 11 AM.
I do like the park idea, but it's true it could get blustery.
I think we should risk it though, somehow I think more neighbors would come if it were in the park.

Tricky weather in April. Wind, etc. People have allergies. Sound. I think the park is great for short meetings, or park related business. I'd like to go back to the Fair Grounds, especially now that Linn is park of FWNA.

Hi All!
I have no preference re: location. But I do work on Sundays, so Saturday would be a better choice for me. But if I need to take a Sunday off to make the meeting, I will.

I work Saturdays and Sundays again. So I won’t be able to make it.

Since weather seems like it'll be a gamble, I'm backing away from the idea of having the meeting outside.

I'd still like to have a gathering with food in the park, but not paired with the extra requirements of our annual meeting.
Planning to talk with a couple of the venues next week to better understand availability.

In addition to venue and date/time selection, I'd like invite others to help me craft the meeting's agenda. I want the agenda to support a meeting that lasts 1 to 1.5 hr.

First planning meeting will be via zoom on Fri March 15 at 2pm. Here's the zoom link and feel free to message me if you have tech questions

Thanks so much for arranging this zoom meeting. I may be able to join the Friday zoom, and if not I'll catch up on what transpired at the zoom meeting. I should be available for further planning meetings. Thanks again! Hillary

I am so excited about the outdoor annual meeting.

I have a mic we can use.

It would be nice to try to Zoom it again. We would need a professional account. ONC let us use their account in 2021.

I would like to have an in person meeting to do the planning, but that’s just me. I would do it over coffee at Kaps, if that’s your thing.

I have a water dispenser and three tents for shade.

I am booked today at 2:00. Here are my suggestions

We should make sure everyone has plenty of notice in a variety of ways including non-tech.

I don’t think we need an election unless someone wants to step down and someone wants to fill the vacancy.

Amend the bylaws error of 9 members we have 11.
Presidents report
Vice pres report
Treasurers report
Committees report: membership, park, events
Ice cream social plan and budget approval
Scary supper plan and budget approval
Approve money for APD support
Motion to support LCV
Create planing and development committee
Presentation by code enforcement - Angelo Metzger
Presentation by RSPP
Presentation on Bank of the west and 15 story building plans.
Have a way for people to give ideas about what is important to them for the NA to address in the next year without long rambling discourse or personal attacking. Maybe a question they can fill out.

Thanks for the good agenda ideas, Kathy!

Communicating online ain't quick but I would like to finalize plans for the Apr meeting in the next week or so.

I'll have time to talk/meet on Fri the 22nd at 3pm and Sat the 23rd and 11am with anyone who wants to help finish details so we can start advertising.

Thanks!
